Match each request to the installed asset
Property teams may manage building equipment, tenant appliances, shared laundry and staff kitchens across the same portfolio. Send the installed equipment type, model and service address. Clarify whether the asset belongs to the owner, tenant or an outside supplier. BARO confirms the technical scope for each unit; general building support does not mean every system or construction trade is included.
Separate the site address from the billing address
An account office and the building with the equipment may be in different locations. Identify the branch or property, entry instructions, equipment room and on-site contact. Tell us about occupied hours, shutdown approvals and access constraints. For several properties, list each location and the person who can accept the proposed estimate. This helps prevent one asset history from being attached to another site.
Prioritize operational disruption
Explain what equipment downtime is preventing: laundry turnover, temperature control, staff amenities or tenant operations. Share current symptoms and prior work, with separate notes for each unit. We diagnose the issue and provide an estimate before repair. Model support, parts and appointment availability are confirmed; the most urgent request still needs a clear equipment description.
Build records that survive a staff handoff
Keep the equipment inventory, manuals, invoices and open follow-up actions by property and asset ID. Maintenance can be discussed around the actual operating pattern. A backup service contact is useful when your usual vendor has no available appointment or several faults compete for attention. Partner and contract arrangements are agreed with BARO, including scope and approval responsibilities.
