Equipment care & service
Build one inventory with separate machine records
Include an asset ID, location, make, model, serial number and manual for each machine. Group equipment by operating purpose, but keep repairs and follow-up attached to individual units. List ownership and existing vendor agreements. A useful inventory distinguishes identical models installed at different sites and makes it easier for a new manager to find the right service history.
Use actual usage and manufacturer instructions
A shared office brewer, hotel dryer and walk-in cooler have different care needs. Record operating hours, busy periods and the tasks already performed by staff. Manufacturer guidance is the starting point for operator care; a technician maintenance scope is agreed for the equipment and condition. Avoid assigning one interval to every machine simply because it is easier to put on a calendar.
Make findings lead to an action
After service, record completed tasks, any parts, observations and recommended follow-up. Assign each open action to a person and agree the next access window when needed. Review recurring downtime with the history rather than losing it between visits. Maintenance helps organize care and detect issues, but does not promise that equipment cannot fail. Keep a backup service contact alongside planned appointments.
